In India, WhatsApp is not just another channel. For many customers it is the default way to talk to a business, ahead of email, phone calls and website chat. That makes it one of the highest-leverage places to automate.

It is also easy to get wrong. A shared phone passed between staff, messages lost when someone leaves, and promotional blasts that get your number blocked are all common. This guide covers how to do it properly.

WhatsApp Business app vs the WhatsApp Business Platform

There are two different products, and the difference matters.

  • The WhatsApp Business app is the free app on a phone. It suits very small businesses: a catalogue, quick replies, labels and a greeting message. It is limited to a small number of linked devices and has very little automation.
  • The WhatsApp Business Platform, commonly called the WhatsApp API, is meant for software integration. Multiple team members can work from one number through a shared inbox, messages can be triggered by your systems, and conversations can be stored in your CRM.

If more than two people answer customer messages, or you want WhatsApp connected to your website, CRM or booking system, you need the Platform.

How the Platform works

Access comes through Meta's Cloud API, either directly or through a Business Solution Provider (BSP) that adds a dashboard, shared inbox and support. You will need:

  • A Meta Business account, ideally verified
  • A phone number not currently registered on the regular WhatsApp app
  • An approved display name that matches your brand

Two rules shape everything you build:

  1. The customer service window. When a customer messages you, a 24-hour window opens in which you can reply freely.
  2. Templates outside the window. To start a conversation, or to message after the window closes, you must use a pre-approved message template. Meta groups templates into categories such as marketing, utility (order updates, reminders) and authentication (one-time passwords), and pricing depends on the category. Rates change, so check Meta's current pricing for India before budgeting.

Opt-in is not optional

You must have a customer's permission before messaging them on WhatsApp. Collect it clearly: a checkbox on a form, a "message us on WhatsApp" button the customer taps, or an explicit request at checkout. Spammy behaviour gets reported, reports lower your quality rating, and a low rating limits how many people you can message. Treat the channel like a privilege, not a broadcast list.

Automations worth building first

Instant lead replies

When a lead submits a form on your website, send a WhatsApp message within seconds: confirm what they asked for, share the next step and include a booking link. For most Indian service businesses this gets far more responses than an email.

Appointment reminders

Clinics, salons, gyms, coaching centres and consultants lose real money to no-shows. A confirmation at booking, a reminder the day before and one a couple of hours before, each with a reschedule option, is simple to build and pays for itself quickly.

Order and delivery updates

For e-commerce and distribution businesses, order confirmations, dispatch notices and delivery updates reduce "where is my order?" calls significantly. These are utility templates, triggered automatically from your store or ERP.

Send invoices with UPI or payment-gateway links directly in the chat, and follow up automatically on unpaid invoices with a polite reminder sequence.

FAQ handling with AI

An AI assistant grounded in your own information can answer common questions such as timings, pricing ranges, locations and documents required, inside the 24-hour window, and hand off to a person whenever needed. Keep it honest: the customer should always be able to reach a human.

Connect it to your CRM

The biggest operational win is not automation itself. It is that every WhatsApp conversation becomes part of the customer record. When a conversation lives only on a staff member's phone, it disappears the day they leave. Connected to your CRM:

  • Every chat is linked to a contact and a deal
  • Anyone on the team can pick up a conversation with full context
  • Managers can see response times and unanswered chats
  • You can see which campaigns actually produced conversations and sales

Common mistakes

  • Buying broadcast tools that send unsolicited bulk messages
  • Writing templates that read like ads when they should be useful updates
  • Automating replies without a clear path to a human
  • Forgetting to switch off sequences once a customer replies or pays
  • Not tracking which messages actually lead to bookings or payments

Where to start

Start with one high-value flow: instant replies to website leads or appointment reminders. Measure response rates and no-shows for a month, then add the next flow. Small, measured steps beat a giant chatbot project that never ships.

We connect WhatsApp to websites, CRMs and booking systems so conversations turn into revenue instead of getting lost. Tell us how your customers reach you today.
